There's so much to do - where do I start?The most important thing to decide at the beginning is: what do you want the event to achieve? Once you have established the aims for the event, then the next step is to set an overall budget.
What is the benefit of using an event planner?By going blindly into a such a massive undertaking it is impossible to budget accurately or foresee difficulties. Organising an event is like planning a stage production. But with events there are no rehearsals so you only have only one chance to get it right. Are all event managers the same?No, we all specialise in our own thing. At Inspire we take total responsibility for our events. We take responsibility for absolutely every detail, including suppliers' payments, contracts, timings, and so on. The final decisions are still yours, but it's up to us to make it happen.
If we use an event manager do we still get to make all of the decisions?Yes of course. We will give you our professional advice and research your options, but the final decision is always yours.
Will you work as part of our team?Yes absolutely. If you want us to head up your team or work as a part of your team or on just one aspect of your event, then that's fine too.
When is the best time to hold a team building event?You will need to check the calendar for any other sporting activities taking place within your area and also check that it is not on a bank holiday. Also it will depend on the busy and quiet times of year for your business.
How long will it take to organise an event?One of the most common mistakes made when organising events is leaving insufficient time for planning. The time required for planning events is very much dependent on the type and size of the event. In an ideal world the planning process should start approximately six months beforehand. If your event is planned for a bank holiday or holiday season, book vital services early.
Who will deal with me and my event?You will be given a dedicated event manager at Inspire. You may occasionally speak to other Inspire representatives but your Manager will always come back to you when you feel he or she is the only person that can help. Your event manager will do all of the liaising with suppliers and also discuss things amongst colleagues. The whole company will be aware of every event so you will never get left out in the cold if, for example, your Manager is on holiday when you have an important question.
How will I be kept informed of the event planning?Your event manager will give you a time schedule upon your confirmation. You will be given a full update at the end of each week of where we are at with the procedures. Ensuring that you are fully informed every step of the way.
How many choices will we get to see before selecting the right one?On our first meeting you will be presented with available options for your event based on the spec given to us. We then take the bits that you love and build on them until we have your perfect event. This process is imperative to get right to ensure that the event not only works in terms of the objectives but also comes in on budget.
How much do you charge?It is very hard for us to tell you how much we will charge for your event before we know what is involved, however if you refer to our case studies we have put the costs of our past events to give you an idea on the costs involved.
What is the process for booking Inspire.Firstly we need to meet with you to discuss the spec or you can send the spec to us. We will then put our ideas together along with the cost guideline. We will then present these to you. After the presentation we will discuss your thoughts. All of this is completed before any commitment from you. Should you decide to proceed with us we will require a percentage deposit based on the costs in our quote.
Do you offer any follow up after the event?Yes, in fact we insist upon it. It is important to us to get as much feedback from our clients as possible. It is the only way that we can ensure that we are delivering exactly what our clients want.
